21st Century Program Assistant

Afterschool Child Development Center Director & Early Ed. Assistant Director

Under the direction of a Branch Child Development Director, the Director is responsible for carrying out the day to day operations for the specified center.  She/he will be responsible for overseeing all the center enrollment, marketing, classroom teachers, ODJFS licensing, Step-Up to Quality – if applicable, billing, snack and meal service, and communicating effectively with the children, their parents, YMCA/JCC personnel, and the center guest when needed. She/he will work cooperatively with other center director.

Accountabilities:

  1. Maintain safe and secure environment for all at all times.
  2. Work as a team member with other staff.
  3. Oversee learning environments with developmentally appropriate activities.
  4. Collect and maintain paperwork for licensing and billing.
  5. Work with community partners.

Responsibilities:

  1. Collect fees and co pays from families- assist families in getting set up for the Automatic Payment System. Handling paperwork thoroughly.
  2. Maintain compliance with ODJFS licensing standards.
  3. Coordinate and handle the Step Up to Quality initiative for center.
  4. Hire and supervise teachers and teacher’s assistants.
  5. Observe and provide feedback to teachers on a regular basis.
  6. Assist in the budget development process.
  7. Meet or exceed budget expectations.
  8. Assist the branch with raising scholarship contributions.
  9. Maintain excellent relationships with employees and partnering departments for center operations.

Aquatics Director

Under the direction of the Executive Director and in accordance with Association policies, the Aquatics Director is responsible for the leadership and advancement of the Aquatics programming for the Sylvania Branch of the YMCA of Greater Toledo.  This position will assist in the development and implementation of innovative programs and activities, supervise, guide and develop staff to ensure that participant’s development occurs in a fun, healthy and safe environment, and ensure program outcomes are consistently achieved. 

JOB SEGMENTS

  1. Assists in supervising program activities to meet the needs of the community and fulfill YMCA objectives. Establishes new program activities and expands program within the community in accordance with strategic and operating plans. Develops and maintains collaborative relationships with community organizations.
  2. Recruits, hires, trains, develops, schedules and directs personnel and volunteers as needed. Ensures records of staff certifications are current and complete.
  3. Maintain audit binder and assure staff is being audited per insurance requirements.
  4. Monitors daily pool operations to adhere to all state, local and YMCA health and safety regulations.
  5. Creates and schedules lifeguard shifts and assists with scheduling of aquatic programming.
  6. Assists in the marketing and distribution of program information.
  7. Models relationship-building skills (including Listen First) in all interactions. Responds to
    all member and community inquiries and complaints in timely manner.
  8. Performs other duties as assigned by supervisor.
  9. Will work 40 hours per week between Memorial Day and Labor Day; 10 hours per week must be on deck. Shorter work weeks will begin in March to prepare for opening of outdoor pool, will include training, job shadowing, recruitment and hiring of summer staff, physical prep of outdoor pool facility, and any other related tasks assigned by supervisor.
  10. Must have availability early mornings, weekdays, evenings and weekends.
  11. Must have valid lifeguarding certification.
  12. Any other duties as assigned by supervisor.
  13. Assists with the creation of and helps to monitor budget for the aquatic department.
 

Associate Executive Director

Job Type: Full-Time

Under the direction of the District Vice President, and in accordance with Association policies, the Associate Executive Director is responsible for the day to day operations of the Wolf Creek YMCA. This position will directly supervise and work closely with mutually agreed upon departments to ensure maximum membership engagement. This position also assists the District Vice President with all facility operations and provides leadership to the YMCA Annual Campaign.  The Associate Executive Director will be in charge of all branch operations in the absence of the District Vice President. 

JOB SEGMENTS

Staff Development:

  • Hire, supervise, train and evaluate staff teams. Consults with District Vice President and Chief Resource Officer before suspending or terminating staff members. 
  • Meet measurable outcomes for utilizing a professional and competent team of professionals to deliver the highest quality programming.
  • Complete any required or mandated trainings/professional development.

Volunteer Development: Develop and direct the YMCA’s volunteer program. Records all volunteer hours monthly for reporting.

Financial Development: Provide leadership to staff and volunteers in the YMCA’s Annual Campaign.  Assist will all other fundraising activities and goals.

Budget Management: Prepares, develops, administers and controls department fiscal budgets including meeting income targets and expense control, in consultation with the District Vice President. 

Facility Management:

  • 1) Responsible for providing clean and well maintained facilities and grounds.  Work with staff to upgrade facilities and equipment.
  • 2) Provide continued assistance to the branch as an active manager on duty as assigned.

Y Improvement Model: Understands and fully implements the Y Improvement Model and ensure that all management staff are fully engaged in the process.

Strategic Planning:

  • 1) Works with the District Vice President and volunteers to develop annual branch goals and individual staff goals as determined by the Association’s Strategic Plan.
  • 2) Ensure department directors are implementing and following through with the Y Improvement Model and YMCA program goals.

Record-keeping: Gather statistics as needed.

Risk Management: Ensure the safety of members and staff.  Report any areas needing attention immediately to proper department.

Leadership Team:

  • 1) Serve as Lead Staff Liaison for the Program and Membership Committee of the Board of Managers.
  • 2) Work with staff on special events in any department needed.
 

AVID Tutor

Dance Instructor

To provide instruction for various Dance Classes, and Arts & Humanities Classes.

ESSENTIAL FUNCTIONS

  • Be within the area of instructing and ready to teach prior to class start time.
  • Obtain class roster from Program Director prior to class start time.
  • Responsible for taking attendance of class participants during the session.
  • Welcome each participant and their parents.
  • Plan and execute a fun, educational, creative class.
  • See that each class includes: Introduction, Review, Skill Development, Personal Growth, and Safety.
  • Keep the room neat and clean.
  • Report any damaged equipment and recommendations to the Program Director.
  • Do not turn children away if they are not on your class roster. Include them in your class and clear it up later with the Program Director.
  • Advise the Program Director if a student is unable to keep up with course curriculum, we may need to move them to a different program or look at alternative solutions.
  • Be consistent, courteous, and helpful and most of all. Make sure that all of the kids have FUN!
  • Keep Program Director informed at all times of substitutes.
  • Weave YMCA core values and mission into class curriculum.
 

Day Camp Coordinator

Lake Director

GENERAL FUNCTION: To lend support to the entire Summer Camp staff and structure.  Responsible for the safe operations and supervision of all six waterfronts and watercraft programs and activities.  Responsible for enforcing all state and licensing regulations and camp policy. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide, enforce and maintain the safety standards and regulations of the Aquatic Department. Supervise the aquatic and counseling staff during general swim and boating activities. 
  • Responsible for care and upkeep of all waterfront and watercraft equipment.
  • Oversee the instruction of aquatic lessons during class period and take the lead in all camp waterfront and watercraft activities during designated periods, such as the Regatta.
  • Responsible for managing water safety drills and lost camper drills on the waterfront. Responsible for implementing the Buddy System.
  • Take a leadership role in staff training.
  • Effectively coordinate the operation of swim checks on opening day.
  • Develop weekly lake schedules with Village Directors, Program Directors, and Summer Camp Director. Perform an inventory on all aquatic equipment at the beginning and end of the summer, indicating    repair needs. 
  • Inform the Summer Director of any events that may affect the overall well-being of campers and staff. Maintain a written log of daily incidents and camp related phone calls. 
  • Attend daily and weekly staff meetings and ensure information is understood. Maintain an open door policy for staff and campers. 
  • Perform written evaluations for staff at the end of the summer.
  • Follow all camp policies and procedures.
  • Any other duties assigned that enhance any/all camp programs and the experiences of all campers and participants at YMCA Storer Camps.

  5. Take chemical readings and record on chemical log sheet at specified times (see log sheet). These are state required records!
  6. Count the number of people in the pool and record on pool attendance form every ½ hour. These are important legal records!
  7. Find and secure your own substitute when needed, complete Sub Request Form, and turn in to your supervisor for approval.
  8. Check board daily in the guard office to keep up to date and informed of upcoming events.
  9. Demonstrate Responsibility, Respect, Caring & Honesty towards members, guests, co-workers, and supervisor at all times.
  10. Maintain a clean deck at all times.
  11. Maintain your physical ability to perform rescues. Attend all trainings and swim/record 500’s weekly

Member Service Associate

  4. Assist in selling memberships and programs by proactively engaging in conversations on the benefits of YMCA memberships and programs.

  6. Practice strong fiscal stewardship in the execution of financial and membership policies and procedures.

North Dock Director

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Interpret, enforce and maintain the safety standards and regulations of the Aquatic Department.
  • Supervise counseling staff during general swim activities.
  • Responsible for care and upkeep of all north dock equipment.
  • Instruct classes and lead waterfront activities during designated periods.

Outdoor Pool Supervisor

Under the direction of the Aquatics Director and in accordance with Association policies, the Outdoor Pool Supervisor is responsible for the leadership and advancement of the outdoor pool for the Eastern Community Branch of the YMCA of Greater Toledo.  Responsibilities include but are not limited to enforcing outdoor pool policies and procedures.  Duties involve all swimming pool operations, including first aid, rotations, management, training and scheduling for staff, limited pool maintenance including daily chemical analysis/testing, pool cleaning, and all other duties as necessary or required.  This employee should have excellent organizational, communication, and public relation skills. This is a full time seasonal supervisory position requiring weekend and holiday work.

Sailing Director

The Sailing Director reports directly to the Aquatics Director.  The incumbent is responsible to lend support to the entire Summer Camp staff and structure.  The Sailing Director is responsible for the safe operations and supervision of the Sailing programs and activities.  The Sailing Director is responsible for enforcing all state and licensing regulations with camp policy.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • The Sailing Director will be responsible for planning, content and delivery of YMCA Storer Camps Sailing program.  They will be the lead instructor for shore based and on the water sailing programs and activities at the camp.
  • Provide oversight for the maintenance, inventory, storage, care, upkeep and replacement of sailing equipment.
  • Support the Summer Camp Director in growing a culture of respectful use of sailing equipment and maintenance thereof, the skills required for the safe usage and enjoyment of the equipment and the process utilized to build skills and competency in the staff and students.
  • Provide, enforce and maintain the safety standards and regulations of the Sailing Program.
  • Supervise the Sailing staff during boating activities.
  • Oversee the instruction of Sailing lessons during class period and take the lead in all camp Sailing activities during designated periods, such as the Regatta.

  • Guide the individual camper in participation of group and camp activities.
  • Assist with program activities and other activities in the village working closely with the Camp Leadership.
  • Have a leadership role at a table in the dining hall during meals.
  • Follow all camp policies, rules and regulations as prescribed by the Director and Assistant Director. Supervise and assist the cabin group in all cleaning activities, including deep cleaning facilities after campers depart.

Village Leader

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Ensure the scheduling of village activities and assign responsibilities, class instruction, and activities among supervised staff.
  • Place campers in classes and assign instructors.
  • Play a leadership role during staff training.
  • Ensure the adjustment of staff to camp life, and help the personal growth of staff. Take a leadership role in the development of the counseling staff, paying special attention to the staff/parent relationships on opening and closing days.
  • Interpret and enforce safety and health regulations.
  • Assist with program activities and other activities in the center, working closely with the Summer Camp Director.
  • Work with the Food Service Director to plan and prepare meals for the Village. Organize and supervise the running of meals in the dining hall.
  • Organize, plan, supervise and implement recreational activities, special events and evening programs.
  • Assist with check-in and checkout procedures.
  • Implement the camper behavior management policy.
  • Supervise and assist the village in all cleaning activities.
  • Conduct written evaluations to each cabin counselor at the end of the summer. Prepare end of session camper packets including camper activity records, certificates, Village Pictures, parent evaluations and Trading Post Balance Sheets. Communicate with Village counselors on a daily basis by.

Youth Opportunities Program Site Coordinator

Under the supervision of the Youth Opportunities Program (YOP) staff this position is responsible for program delivery to YOP participants between the ages for 14 and 21 in the area of tutoring, Life skills, work readiness, field trips and other components of the program. The Site Coordinator is responsible for transporting youth to field trips as well as organizing weekly programing that will engage and support participants to make their monthly goals and track their progress. The site coordinator will provide monthly reports and attend staff meetings upon request.

Functions and Responsibilities:

  • Recruit, enroll, and maintain attendance for YOP participants for site at designated level.
  • Coordinate daily, weekly and monthly program activities.
  • Follow-up with and re-engage inactive participants.
  • Maintain all necessary records including registration information, calendar attendance sheets and rosters.
  • Participate in all required YOP events and meetings, including monthly All-Site meetings.
  • Work to build healthy relationships with the participants and parent.
  • Supervise and monitor YOP participants during all YOP activities and coordinate the activities of all other staff including tutors and volunteers.
  • Work with community agencies to provide services to teens and families.
  • Consistently monitor participant’s academic progress.
  • Assist the Youth Specialist to research, plan, develop and implement academic, work readiness, career and life skill activities with an emphasis on values education and increases in quality of life resources.
  • Communicate regularly with all participants, parents, supervisor, and YOP youth specialist.
  • Coordinate and facilitate YOP transportation for regular programming and field trips.
  • Host periodic parent meetings to encourage social involvement and to disseminate program information and build the relationship.
